Set up your studio
Before adding members, it's worth getting your studio ready: its details, its locations, opening hours and billing methods. This setup is the foundation on which plans, attendance and payments work afterward.
Your studio's details
Your studio has a name, a description, contact details (address, phone, email) and a logo. Have these on hand:
- Name and description: how your studio presents itself.
- Logo: the image that identifies your brand.
- Alias: a short, unique identifier for your studio within Pulso Flow.
Locations
A location is a physical site of your studio. Even if you have a single site, there's always a main location (headquarters) that's created together with your studio. If you have several sites, you can create one location for each.
Each location has:
- Its own name and contact details.
- Its own billing details: bank account number, bank alias and account holder. This lets each location receive transfers into its own account.
- Its own check-in QR code (see below).
- Its own opening hours.
Use several locations when you have separate sites that you want to manage independently: distinct member rosters, billing and staff per site.
By default, a member belongs to and attends one location. If you want them to be able to use any location, that's enabled from their plan (see Plans and memberships).
Opening hours
For each location you can define the hours for each day of the week. Split hours are supported: a single day can have more than one time slot (for example, morning from 06:00 to 11:00 and afternoon from 15:00 to 20:00). You fill in the whole week; days without a slot are treated as closed.
Check-in QR code
Each location (and the studio in general) has a QR code that members scan to record their attendance. You print it and leave it at the entrance.
If you need to invalidate already-printed QR codes —for example, after a staff change or if you suspect it has leaked— you can regenerate (rotate) the QR code. When you do, a new code is generated and the previously printed QR codes stop working; you'll need to reprint and replace them.
Your Pulso Flow subscription
To use Pulso Flow, your studio has a platform subscription (what you pay Pulso Flow). It's independent from the payments you receive from your members.
- Trial: when you sign up, you start with a free trial period. If you were given a promo code, it may extend that trial or place you on a different plan.
- Platform plans: each plan defines how many locations, how much staff and how many active members you can have, as well as which features are included. Each plan is offered with different billing cycles (monthly, quarterly, biannual, annual) at different prices.
- How you pay: you transfer to the platform's bank account/alias and upload the receipt. The platform reviews the receipt and approves it (or rejects it with a reason, so you can correct it and upload it again).
- Subscription statuses: trial, active, pending (waiting for you to upload the receipt), expired, suspended or cancelled.
- What happens when it expires: there's a grace period after expiration during which you keep using the platform normally. Once that period passes (or if the subscription becomes suspended), access is restricted: members can't record entries and staff can't operate until you renew.
